The following are frequently asked questions regarding Administration.

(Note: These questions are taken from the Lotus cc:Mail forum on
CompuServe.)

Question

What is the maximum number of directory entries in a cc:Mail PO (post
office)?


Answer

You can have a maximum of 493,214 entries on a DB6 post office (65,535
in pre-DB6 post offices). Other maximum numbers are as follows:

* Maximum number of folders per user = 201
* Maximum number of private mailing lists per user = 201
* Maximum number of entries in a private mailing list = 200
* Maximum number of messages per folder = 32,767 (DOS Mail client can
only display the first 1,600)
* Maximum number of messages in the Inbox = 32,767 (DOS Mail client can
only display the first 1,600)
* Maximum number of bulletin boards per PO = 201
* Maximum number of public mailing lists per PO = 201
* Maximum number of entries in a public mailing list = 200
* Maximum message body size of a single message = 20K
* Maximum number of message/file items (attachments) per message = 20
* Maximum size of a file item = limited to amount of disk space
* Maximum size of a message header = 4K or 200 entries, whichever comes
first
* Maximum number of names that can be added to the Post Office
Addressing list in cc:Mail for Windows 2.x = 50-60 (if added manually in
the PRIVDIR.INI file, you can add entries as long as the file size does
not exceed 64K).


Question

Does Lotus cc:Mail have a version of NPODOWN for Banyan, OS/2, or IBM
LAN Server?


Answer

No, NPODOWN currently supports Novell NetWare 2.2 through 4.x networks.
However, if you have an IBM LAN Server, you can use the AT scheduler on
the server and/or use the following command via a batch file from either
the workstation of the server:

NET ADMIN \\servername /C "NET SHARE sharename /D /Y"

where servername is the name of the server that your post office is on,
and sharename is the sharename of the post office (where the CCDATA
directory [or the MLANDATA, CLANDATA, and USR* files] can be found).
That will immediately stop sharing the directory and break everyone's
connection to the post office (the equivalent of NPODOWN).

Assuming a little further that you want to work on the post office in
some way, then it might be a good idea to do the following:

NET ADMIN \\servername /C "NET SHARE tempsharename=drive:\physical path
where tempsharename is any name you want to temporarily give the data
directory so that you can still link to it and do any maintenance that
you might need to do.

When you are finished with your maintenance and want to put things back
to normal, use the previously listed command for dropping the sharename
to remove the tempsharename and add back in the correct (everday/normal)
sharename.


Question

What is FAP?


Answer

With FAP (file access protection) set to YES in ADMIN, cc:Mail clients
(mail clients, Routers, Links products) are instructed to initially
access the PO database files in a read-only mode. When a write to the
PO files is required, the application closes the files and reopens them
in read-write mode. This minimizes PO corruption if another application
inadvertently uses the wrong file handle. With FAP set to NO, the
clients access the PO files in read-write mode at all times.


Question

Where can I find the ANALYZE utility?


Answer

You can download ANALYZE and the rest of the cc:Mail DOS and OS/2
administrative utilities from the cc:Mail BBS (415-691-0401, File Area
3), the Lotus FTP Server (ftp.support.lotus.com,
/pub/comm/ccmail/adtools), and CompuServe (Go LotusM, Library 3) as
ADM512.ZIP.


Question

How do I delete old messages in every user's Trash folder with CHKSTAT
5.11?


Answer

Use the following syntax with CHKSTAT 5.11 (the examples might be
word-wrapped):

CHKSTAT /N<post-office-name> /P<post-office-password>
/D<post-office-path>/MESSAGES/DELETE/TRASHFOLD/DAYS/<xx>

where:

<post-office-name> = Post office name in double quotes
<post-office-password> = Post office password
<post-office-path> = Post office path
<xx> = Number of days old

For example:

CHKSTAT /N"HUB-PO" /PSANTA /DM:\CCDATA
/MESSAGES/DELETE/TRASHFOLD/DAYS/30

This syntax would delete all the messages in each user's Trash folder
that are older than 30 days. You can also run CHKSTAT to delete
messages in the Message Log:

CHKSTAT /N<post-office-name> /P<post-office-password>
/D<post-office-path>/MESSAGES/DELETE/MSGLOG/DAYS/<xx>

(Note: Lotus recommends that before running any CHKSTAT command intended
to delete a group of messages, first run the same command line without
the /DELETE parameter. This step causes CHKSTAT to report the messages
that will be deleted, but it does not take any action.)


Question

How can I determine the number of user licenses I have in my post
office?


Answer

If you have not run ADMIN 5.x to remove the license restriction from
your post office, you can use CHKSTAT to gather this information. With
CHKSTAT 4.02c, the syntax is as follows:

CHKSTAT /N<post-office-name> /P<post-office-password>
/D<post-office-path>
/DIRECTORY

With CHKSTAT 5.11, the syntax is as follows:

CHKSTAT /N<post-office-name> /P<post-office-password>
/D<post-office-path>
/DIRLIST

This command will give you a scrolling screen full of information. Add
the DOS redirect command (>) and redirect the screen output for easier
review. At the beginning of the output, you should see something like
the following:

Maximum local mailboxes: 11

Total mailboxes: 30

The Maximum local mailboxes is the total number of user licenses
installed with a cc:Mail User Pack. The Local: line under Total
mailboxes: informs you of how many "L" users you currently have
installed. Subtracting this figure from the Max Local figure shows you
how many you have left that have not been used. In the previous
example, we have nine spare Local user licenses.

With the release of ADMIN 5.x, user licenses are tracked by License
Packs, rather than by User Packs installed at the post office. If you
are using ADMIN 5.x or have removed the license limitation from the post
office, CHKSTAT will report that the maximum number of local mailboxes
is "unlimited." It is the customer's responsibility to maintain the
correct number of license packs for the post office. Please contact
Lotus cc:Mail Inside Sales at 800-448-2500 for further information on
License Packs.


Question

How do I add an alias in the PO directory?


Answer

To use the alias feature, the original name must already appear in the
cc:Mail directory. In ADMIN, enter the alias name in the directory.
When asked for the location, select Remote. When asked for the cc:Mail
address, type in the original name. The location automatically becomes
an "a." For example, your directory looks as follows:

Now you want to add an alias to Kirk, such as "Captain." In ADMIN,
select Manage Mail Directory, and add "Captain." Make it a remote user,
and for the cc:Mail address, type in "James Kirk" (or "Kirk, James").
The directory now looks as follows:

Question

I anticipate adding several thousand users to my PO directory at one
time. How can I pre-allocate directory space in my PO?


Answer

You can pre-allocate the directory space in an existing PO to
accommodate a large number of directory imports or additions with
RECLAIM's /DIRECTORY/n parameter, which is described on page 88 of the
cc:Mail, Release 5.1, Administrative Utilities manual and is listed in
Table 4-4 on page 89 of the 4.0 Admin manual. RECLAIM/? also shows you
the command.


Question

Does Lotus conduct cc:Mail Administration classes? Who do I contact?


Answer

Lotus' Field Support Services group conducts cc:Mail Advanced Support
Seminars around the United States. Call 800-346-6409 for schedules,
registration, or more information.

(Note: The cc:Mail Advanced Support Seminar is a three-day course, and
cc:Mail Administrators need to be familiar with the functionality of the
client software, cc:Mail Router, and the administration tools. Many
Lotus Authorized Education Centers teach cc:Mail Admin I and II courses,
which are suitable prerequisites for the cc:Mail Advanced Support
Seminar.)


Question

How do I write an automatic welcome message?


Answer

You can write an automatic welcome message with CHKSTAT and
Import/Export. CHKSTAT can be executed to get a directory listing of
all of your users. You can then create a macro to use the directory
information to form an import file such as:

Message:
From: CCADMIN at HUB
To: User at PO1
Subject: Welcome message
Contents:
This is a welcome message.

You can find format information and sample messages for Import on page
9-27 of the Users Manual for Import/Export.


Question

What are the options for exchanging mail between cc:Mail and Microsoft
Mail?


Answer

Several options are available to connect cc:Mail to Microsoft Mail.

Question

Is there a Windows version of the cc:Mail Administrative Utilities
(ANALYZE, CHKSTAT, RECLAIM, CCSAVE)? How about NT versions?


Answer

Not currently. Lotus is developing an NT-native version of the Admin
Tools, but they will probably be available after the Release 6 (DB8)
products. Third party Windows shell products are available that provide
a Windows interface to the Admin Tools. They can be found in the
CompuServe LOTUSM library.
